Booking Policy

1. Booking Confirmation

A booking is considered confirmed once:

  • the itinerary and price have been agreed between you and Wild Outside;

  • we have confirmed the booking in writing; and

  • the required advance payment has been received.

Until these steps are completed, all proposed itineraries, accommodation, activities and other services remain subject to availability.

2. Payment

A 30% advance payment of the total tour price is required upon confirmation of the booking.

The remaining 70% balance must be paid no later than 30 days before the arrival date.

For bookings made within 30 days of arrival, the full tour price is payable upon confirmation.

Payments can be made using the payment methods communicated by Wild Outside at the time of booking. Any bank charges, transfer fees or other payment-processing costs charged by the traveller's bank or payment provider are the responsibility of the traveller.

In certain cases, specific accommodation providers or other suppliers may require earlier payment or impose stricter payment conditions. Where this applies, we will inform you before confirming the relevant service.

3. Cancellation by the Traveller

If you need to cancel your booking, please notify Wild Outside in writing as soon as possible.

The following cancellation charges apply:

  1. More than 30 days before arrival: 30% of the total tour price

  2. 30 days or less before arrival: 100% of the total tour price

The cancellation date is the date on which Wild Outside receives written notification of the cancellation.

Where a hotel, accommodation provider or other supplier has imposed stricter non-refundable cancellation conditions, these may apply in addition to or instead of the standard cancellation terms above. Any such conditions will be communicated to you before the relevant booking is confirmed wherever reasonably possible.

4. Changes to a Confirmed Booking

If you wish to change your travel dates, itinerary or other confirmed arrangements, please contact us as early as possible.

We will make reasonable efforts to accommodate requested changes, but changes are subject to availability and cannot be guaranteed.

Any additional costs resulting from a requested change, including supplier cancellation or amendment fees, price differences, or changes in seasonal rates, must be paid by the traveller.

Significant changes to travel dates or arrangements may need to be treated as a cancellation and new booking where existing reservations cannot be amended.

5. Cancellation or Changes by Wild Outside

We make every reasonable effort to operate your tour as confirmed. However, travel arrangements may occasionally need to be changed due to circumstances beyond our reasonable control, including weather conditions, natural events, road conditions, park closures, government regulations, safety considerations, supplier changes or other operational circumstances.

Where reasonably possible, we will arrange a suitable alternative of a comparable standard.

If Wild Outside has to cancel a tour before it begins and no suitable alternative can be provided, we will refund payments received for services that cannot be provided, subject to any amounts that are non-refundable or unrecoverable from third-party suppliers.

Wild Outside is not responsible for additional expenses incurred by travellers as a result of circumstances beyond our reasonable control, such as international flight changes, additional accommodation or other personal travel arrangements.

6. Wildlife, Weather and Natural Conditions

Wildlife encounters take place in natural environments and sightings of specific animals or species cannot be guaranteed.

Weather, seasonal conditions, animal movements, park regulations and other natural or operational factors may require changes to safari locations, timings, routes or other parts of an itinerary.

Such changes do not in themselves constitute grounds for cancellation or a refund where Wild Outside is still able to provide a reasonable alternative or substantially deliver the agreed travel arrangements.

7. Unused Services

No refund will normally be provided for accommodation, activities, transport, meals, safaris or other services that a traveller chooses not to use after the tour has commenced.

This also applies where a traveller arrives late, leaves the tour early or is unable to participate in part of the itinerary for personal reasons.

8. Travel Insurance

We strongly recommend that all travellers obtain comprehensive travel insurance at the time of booking.

Your insurance should provide appropriate cover for your individual trip, including, where applicable, trip cancellation and interruption, medical expenses, emergency evacuation, personal belongings and other unforeseen circumstances.

It is the traveller's responsibility to ensure that their chosen insurance policy provides suitable coverage.

Wild Outside cannot guarantee that an insurance provider will reimburse any particular cancellation or loss, as this will depend on the terms and conditions of the traveller's individual insurance policy.

9. Traveller Responsibilities

Travellers are responsible for ensuring that they:

  • hold valid passports, visas and any other documents required for travel;

  • meet any applicable health, vaccination or entry requirements;

  • provide Wild Outside with accurate information necessary to arrange the trip;

  • inform us in advance of relevant dietary requirements, mobility considerations or other requirements that may affect travel arrangements; and

  • arrive at agreed meeting points and departure locations at the specified times.

Costs or losses arising from a traveller's failure to meet these requirements are the responsibility of the traveller.

10. Prices

Tour prices are based on the itinerary, number of travellers, accommodation, services, travel dates and other arrangements agreed at the time of booking.

Changes requested after confirmation may result in a revised price.

Where an unavoidable price change occurs because of government taxes, park fees, statutory charges or other mandatory charges introduced after confirmation, Wild Outside reserves the right to pass on the relevant additional cost where permitted by applicable law.

11. Force Majeure

Wild Outside shall not be liable for failure to perform, or for changes to travel arrangements caused by circumstances beyond our reasonable control.

These may include, but are not limited to, natural disasters, extreme weather, floods, fire, epidemics or pandemics, government action, civil unrest, strikes, transport disruption, road closures, national park or reserve closures and similar events.

Where such circumstances occur, we will make reasonable efforts to assist travellers and provide suitable alternative arrangements where possible. Any additional costs that cannot be recovered from suppliers may remain the responsibility of the traveller.

12. Governing Law

This Booking Policy and any booking made with Wild Outside are governed by the laws of the Democratic Socialist Republic of Sri Lanka.

Any dispute arising in connection with a booking or the services provided by Wild Outside shall be subject to the jurisdiction of the courts of Sri Lanka.
